What AAC collects
When you choose to submit, AAC receives your email address, a browser-specific request identifier, your first name, US state and town you provide for your home search or current home, purchase or refinance interest, timeframe, question, source/campaign tags and your permission choice. We store submission and permission timestamps. Do not provide financial documents or sensitive financial details.
Why we collect it
To review and respond to the planning follow-up you requested, maintain your permission choices, prevent duplicate inquiries and evaluate this small pilot. This is not a mortgage application or a credit check.
Who receives it
AAC’s authorized operator can view the request. The application uses OpenAI Sites and its Cloudflare-backed hosting/storage infrastructure. Visitors do not need an account. An essential secure browser cookie lets you manage your request for up to 90 days. AAC does not share pilot requests with mortgage lenders or sell the list in this pilot. No advertising trackers or automated marketing messages are included in this app.
Manual follow-up records
If AAC follows up outside this portal, an operator can record a planned email attempt, whether it was sent, failed or cancelled, and any reply, delivery failure or opt-out. This is an operator-entered log, not a connection to the email account or proof of delivery. It includes the operator, time and a brief note. The pilot allows one logged email attempt per contact. AAC’s email provider may separately retain sent and received messages, headers and delivery records.
Aggregate page views
When a refinance worksheet or refinance request page loads, the portal can add one view to a daily count by page, source and campaign tag. This count does not store a visitor identifier, IP address, cookie or referrer. It is not a count of unique people and may include repeat loads or automated traffic. Source and campaign tags are stored with your contact details only if you submit a request.
Your controls
Use My request to withdraw follow-up or delete your portal contact details, request history and detailed operator-entered follow-up log. Use the same browser. Anyone with access to that browser may be able to view the request. If the cookie is lost, contact AAC from your submitted email for assistance; AAC must verify ownership before changing or disclosing a request. New submissions cannot silently restore a withdrawal.
The portal deletion control does not delete copies already held in AAC’s email account. Contact AAC about those records; AAC will review the request, verify identity and handle any applicable retention obligations. Minimal secret-keyed identifiers derived from the browser receipt and email address, plus withdrawal, suppression and one-attempt markers, remain to enforce the pilot limit and prevent unwanted follow-up. They do not contain your name, email address or question in readable form, but they remain linkable by AAC with the pilot secret and should not be treated as anonymous.
Retention
Portal inquiry contact details and detailed follow-up history become eligible for deletion 90 days after the initial request. Cleanup runs on the next data access after that date; this pilot does not promise deletion at the exact 90-day instant. You can delete those portal details earlier using My request. Secret-keyed pilot-slot, email-suppression, withdrawal and one-attempt records remain until the pilot is closed and reviewed. Email-account copies are managed separately.
